When is customization justified?
Customize when a documented requirement cannot be met adequately through standard modules, configuration or an accepted process change. A form, approval rule, report or module should justify its maintenance, upgrade and training cost as well as the initial feature.
Standard first, custom when needed
Separate operational constraints from habits inherited from an old system. Demonstrate the standard workflow with real examples before commissioning a module.

Define acceptance before development
Write examples for normal work, exceptions and unauthorized actions. Agree roles, validation, reporting and integrations. Develop separately from production and have business owners verify realistic transactions. Include source ownership, documentation and recovery in the handoff.
Protect future upgrades
Maintain a register of custom behavior and dependencies. Check future updates against critical workflows, reports and permissions. Avoid hard-coded credentials and unmanaged production changes. Define who diagnoses issues and how fixes are tested.
What affects delivery and cost?
Scope grows with modules, rules, external systems and migration. Bring the gap, current workaround, user counts and transaction volumes. Measure reduced re-entry, fewer exceptions or clearer approvals against a baseline. Existing modules require a source, license, dependency and test review before support can be agreed.
