Separate the budget into decisions

A timeline is an acceptance plan

A focused rollout may fit into weeks; multi-company or substantial manufacturing and migration can take months. These are planning possibilities, not promises. Establish gates for process design, trial migration, acceptance and cutover. User availability and cleanup can determine the schedule as much as development.

Compare proposals using the same example

Ask each provider how one real order or work order moves through its proposed system. Include a return, missing item and approval exception. Compare deliverables, migration, integration, training, ownership and support. A low installation price may leave significant business work unpriced.

Prepare for discovery

Bring a system list, sample data, transactions and reports managers actually use. Name process owners and identify training and cutover windows. Agree secure transfer for any sensitive data.

  • Name financial and safety approvals retained by your team.
  • Record cycle time, reconciliation differences and rework.
  • Identify who approves process changes and acceptance.

Control scope after launch

Keep a prioritized improvement list. Review exceptions and adoption rather than treating every request as a launch blocker. Changes to modules or connectors need regression tests against critical transactions. Revisit the budget when adding entities, locations or major workflows.
